Make JForum useful for the projectmanagement

I being a projet manager for my project, wanted to make use of JForum for my project management. The JForum now works for me in this way.

1. Different members of my team are in different groups, like Management, Technical Support , Team leader and so on....
2. If any one from any group creates a new topic then everyone will get an email.
3. And they can ofcourse reply to the topics.

At the moment I have a problem.
If a user from any group creates a new topic, then the permissions are reset and everytime I have to set the permissions to the feature "allowall".

At what points in the source code should I take care so that when new topics are created then the permissions are not disturbed.
